Manage Active and Archived Folders in a Project

Organizing your files using folders within a 3Play Media project helps keep your content structured and easily accessible—especially when managing multiple files across various subjects, departments, or use cases. 

Prerequisites

  • You must be working within a selected project in your 3Play Media account.
  • You must have permission to manage files and folders within the project.

Steps to Manage Folders

Step 1: Navigate to the Folder Management Section

  • From your project dashboard, click on the Folders tab located in the left-hand navigation panel.

Step 2: Click “Manage Folders”

  • Click the blue Manage Folders button in the upper right-hand corner.

Viewing Active or Archived Folders

Use the View: dropdown at the top of the page to toggle between Active Folders and Archived Folders.

For each folder listed, you will see:

  • Folder name
  • Number of files in the folder
  • Created date and time
  • Whether a glossary or cheatsheet is already appended

You can also take the following folder actions:

View Folder

Step 1: View Folder Contents

  • Click the View Folder button to navigate to the My Files page showing all files in that  specific folder.

Step 2: View File Details

  • Select the file name to view more details and information.

Open Actions Menu

Step 1: View Dropdown Menu

  • Click the three-dot icon beside the View Folder button to open a drop-down menu with multiple action options.

Step 2: Select Action

ACTION: Download Folder

  • Redirects to the Download Files page where you can:

  • Choose your desired download file format

  • Download files individually or as a ZIP file

ACTION: Rename Folder

  • Opens a pop-up window with the current folder name pre-filled.

  • Edit the name and click Submit to save changes. 

  • Once saved, a confirmation message will appear: Success! The folder [new name] has been updated.

ACTION: Export File Data

  • Downloads an export of file-level metadata.

ACTION: Add Order Instructions / Glossary

To Edit Existing Instructions:

  • Click the pencil icon
  • Update the text or PDF
  • Click Save. Once saved, a confirmation message will appear: Success! The default order instruction for [folder name] has been updated!

To Delete Instructions:

  • Click the trash icon
  • Confirm: Are you sure you want to delete?
  • Click Yes - delete this order instruction. Once deleted, a confirmation message will appear: Success! Your default order instruction for [folder name] has been deleted!

To Add Instructions for New Folders:

  • Click + Folder Order Instructions
  • Select a folder from the dropdown
  • Add text or upload a PDF
  • Click Save. Once saved, a confirmation message will appear: Success! Your default order instruction for [folder name] has been updated!

Archiving Folders

Step 1: Archive a Folder (Available in Active Folders View)

  • Select Archive Folder from the actions menu

Step 2: Confirm in the pop-up window

  • Are you sure you want to archive this folder and all files in it?

Step 3: Click Yes - archive folder

  • Once saved, a confirmation message will appear: Success! The folder [folder name] has been archived.

Note: Archiving files associated with an interactive plugin or API-driven captions will make those captions inactive.

 

Unarchiving Folders

Step 1: Unarchive a Folder (Available in Archived Folders View)

  • Select Unarchive Folder from the actions menu
  • Once clicked, a confirmation message will appear: Success! The folder [folder name] has been unarchived.

Note: When all files in a folder are archived, the folder is removed from the active project view. If any file in that folder is later unarchived, the folder will also be restored automatically.
