Live Professional Captioning without a stream to 3Play

 

3Play now offers Live Professional Captioning without needing to receive a stream from your event. 3Play requires a link or phone number through which our captioner can access your event audio.

Captioning delivery methods available with this workflow are the 3Play Embed as well as the 3Play Second Screen Webpage .

 

NOTE:

  • Live Auto Captions, and Live Auto Caption failover are not available with this workflow, as this workflow lacks a stream from which to generate Auto Captions.
  • Our Captioner must be able to access the event audio in order to generate captions. Access to the event audio is dependent on providing valid access information when ordering a Streamless Event.

 

Step 1 - Navigate to the Live Captioning page

Click into the Live Captioning module within your 3Play Media project, and select “I want to provide audio another way (e.g. meeting link or phone number)."

 

Service Type is set to Professional Captions, as events captioned through a meeting link or phone call can only be captioned professionally, and will not have automatic captions as a fallback option.

 

Step 2 - Select Event Start and Captioner Join times

Specify the Event Date and Start time by clicking the calendar icon to choose the MM/DD/YYYY and HH:MM:SS of the event. The time will automatically be set to 5 minutes from the current time but can be manually edited within the field.

Next, specify how far in advance of the event start time the captioner will be able to access the event audio. 

 

Step 3 - Provide Audio Access Information 

3Play requires a meeting link or phone number through which our captioner can access your event audio. In the Meeting Location field, provide the URL or phone number to allow the captioner to access your event audio (for example, a link to join a WebEx or Zoom meeting, as well as any passcode that might be required.)

 

Provide any additional information that the captioner needs to know to access the event audio under Additional Instructions. This could include a secondary method for accessing the event.

Note:

  • We strongly recommend providing a support contact (email and phone number) that our captioner may contact if they have any issues in accessing the event audio. 
  • Your professional captioner will check in 20 minutes prior to the Event Start Time and send test captions. Charges for the event begin when your captioner checks in up to 20 minutes prior to your Event Start Time.

Step 4 - Provide Event Information

The next page requires the following inputs:

  • Estimated event duration. Please note that if your event is matched to a captioner, you will be billed at minimum for the estimated event duration because the captioner is reserved for that duration. 
  • Captioning overtime options. Select one of the following options:
    • Continue with captions (contingent on captioner availability)
    • Stop captions at the end of the estimated event duration
  • Event type. This helps the captioner prepare for the format of the event. 

Optionally, add more inputs to support event caption accuracy include:

  • Event Instructions. The information entered here will be automatically provided to the captioner to prepare for the event. This could include speaker notes, information on the format of the event, links to rosters, etc. 
    • Please note that speaker labels added here will appear in the captions exactly as they are entered here. If you would like all caps speaker labels, please enter them in all caps when ordering. 
  • Wordlists. Words added here will prime our speech engine and be provided to the captioner in advance of the event for their review. 
  • Event Contact. This field represents the contact information for the person supporting your event, and will help ensure efficiency for any support-related communication. 

Step 5 - Complete Scheduling 

You now have successfully ordered Live Professional Captions with 3Play.

Upon scheduling completion, the confirmation page provides the 3Play Live Captioning iFrame and Javascript Code Snippets, as well as the URL for the Second Screen Webpage for captioning delivery.

Step 6 - Preparing for your event

Ensure your desired captioning delivery method is implemented for your audience (captioning delivery methods available with this workflow are the 3Play Embed and/or 3Play Second Screen Webpage). 

 

Prior to your event, you will be able to determine the captioner match status which indicates whether or not a captioner has been matched to your event.

  • Any events that are not matched to a captioner will be auto captioned at event start time.
  • Event Cancellation Policy:
    • Any events not matched to a captioner may be canceled without a fee up until the Stream Start Time.
    • If your event has been matched to a captioner, you may cancel without charge up to 24 hours in advance of your stream start time
    • If your event has been matched to a captioner, and you need to cancel within 24 hours of your stream start time, you will be charged in full for the estimated event duration (inclusive of captioner preparation time).

 

NOTE:

Customer Support

Leading up to your event

You can create a support case from the Actions dropdown associated with the event.  From the Actions menu in the Live Captioning Dashboard, select 'Request Customer Support'.

During an event  

3Play Media will provide access to real-time chat support for the duration of the event. Customers can access the Chat Support feature from the Event Details page.
