Order and Manage Live Captioning for Recurring Events

In the 3Play Platform, when live captioning is needed for recurring events such as a class or meeting, a Live Recurring Event Schedule can be used to order captions for each event in the set. 

There is no additional cost for customers to use Live Recurring Events, and standard cancellation rules apply.

NOTE: At this time, this feature is only applicable for events ordered using the 3Play Streamless workflow.

 

ADD A RECURRING SCHEDULE TO YOUR STREAMLESS LIVE EVENT

From your 3Play account, navigate to the Live Captioning section. Select "Schedule Captions" and select the "Streamless" workflow.

When providing Event Information when ordering a Streamless event, you can select "Add Schedule" to make the streamless event a recurring event. Once you've selected "Add Schedule" you can then define the dates and times of your recurrence.

  • Frequency: you can select daily, weekly, or monthly
  • Interval: this is the 'frequency interval' for the event schedule, it allows you can select how often you want the event to occur. For example: a frequency of "daily" and an interval of "2" would result in events scheduled every 2 days.
  • Ends at: Select an end date or number of occurrences for the event
  • Excluded dates: Select any dates to exclude (e.g. national holidays)
  • View Schedule: to see all of the dates for the scheduled recurrence

Keep in mind: you might need to create more than one Live Recurring Event Schedule in order to capture all of the times that an event occurs, e.g. every Tuesday at 9am ET and every other Thursday at 1pm ET should be created as 2 Live Recurring Events (one for Tuesday, and one for Thursdays)

CAPTION DELIVERY FOR RECURRING EVENTS

In the order form, within the Caption Delivery section you can select from the following options

  1. Use a pre-existing Static/Reserved URL
    1. Static URLs you've previously created will be selectable from within this dropdown. Selecting a pre-existing Reserved URL will mean captions for every event within that Recurrence Schedule will be delivered to this URL.

  2. Use unique URLs for each instance of the Recurrence Schedule
    1. This will create unique caption delivery URLs for each event within the Recurrence Schedule

  3. Create a Static (aka Reserved) URL for the Recurrence Schedule, such that all events within that this Recurrence will have captions delivered to the same URL
    1.  If you select this option, you will be prompted to name the URL. Once created, this URL will be available for selection when creating future events (for example, if a student requires accommodation for many courses, the same URL could be selected when scheduling all courses for that student)

POST EVENT TRANSCRIPT ACCESS

When a Recurrence Schedule is created, a folder of the same name is created, and all events within that Recurrence (including all post-event transcripts) will be stored within that folder. 

 

SUPPORT CONTACT FOR RECURRING EVENTS

It is strongly recommended to add a support contact to the recurring event schedule to ensure that 3Play support can contact the appropriate person in the event of an issue during the event. The support contact should represent whomever is best equipped to address support issues in the moment.

Once the order form is completed, select the "Create" button, and your events will be created. Please note, it may take a few minutes for all of the event in your recurrence to be created and reflected in your Live Events dashboard. Once created, each event will be available on the Live Events dashboard in your Upcoming Events section.

 

EDIT A LIVE RECURRING EVENT

To edit or cancel a recurring event, select an individual event within your recurrence, and click "Edit" or "Cancel". A dialogue will appear asking you to indicate whether the action should apply to this single event or to all future events within the Recurrence.

Note:

  • Any edits to or cancellation of the Recurrence Schedule will not impact completed events, and will only impact events in the future.
  • If an element of an individual event within a Recurrence has been edited, and then you make a different edit to that same element and apply to the entire set, the edit for the individual event will be overwritten.
  • Exercise caution when editing the Recurrence Schedule, as any shifts to different days of the week will require any excluded dates be re-added to the Recurrence.
  • You can create a Recurrence Schedule up to 2 years into the future
