AIM Version 5 (DSV5): Live Captioning AIM Student Accommodation Requests

This article outlines how to request live captions for student and course accommodation requests.

3Play Media offers a live captioning solution for education customers utilizing AIM to manage student accommodation requests. 3Play will receive and support accommodation requests routed to the 3Play Platform from customers utilizing AIM.

NOTE: This article outlines support and features for AIM Version 5 (also known as DSV5). If you are on AIM Version 4, please reference this document.

Please contact your 3Play account manager to have this feature enabled in your 3Play account. 

Requirements

  • AIM Version 5
  • AIM Account https://www.accessiblelearning.com/ including the "Communication Access" module
  • 3Play Enterprise or Pro account 
  • A linked 3Play account (follow the steps here to link your account)

What 3Play services is this integration compatible with?

Step 1 - Navigate to the Communication Access Module and Select Course

Log in to AIM, and navigate to the Communication Access Module. In the lefthand navigation, under the Requests section, select "List Requests". This will display the live captioning course accommodation requests from students.

 

Step 2 - Schedule Captions for Selected Course

Select View on the course accommodation request for which you'd like to schedule live captions.

 

From there, click on the Assignments tab, select 3rd Party Assignment from the drop-down, and select "Add Assignment"

 

Fill out the requisite information:

  1. Account: Select the appropriate linked 3Play project from the dropdown menu (this is the 3Play project where captions will be scheduled)
  2. Select the Time Slots: Use the checkboxes to select the days of the course for which you'd like to schedule live captions
  3. Meeting Information: Provide the information the 3Play captioner will need to access the classroom audio (for example, this could be a link to the Zoom meeting being used for the class)
  4. Classroom Support Email & Phone: Provide the support contact information to whom 3Play can reach out in case an audio or other issue arises at class time 
  5. Additional information: you may add any additional information to ensure captions are properly delivered, including speaker names or other relevant information such as subject matter or terms the captioner should prepare to caption

Once the form is filled out, select the Send Assignment button to automate caption scheduling in the 3Play Media platform. The 3Play Platform will then confirm the successful scheduling of captions for the class schedule with the AIM platform, and provide them to students directly in the AIM Platform:

  1. The ability to view live captions. In AIM, select View Captioned Version to access a static URL to a 3Play-hosted web page per class, for your students to access captions during their class. Visible in both student and coordinator views. Select View Live Caption.
  2. The ability to access and download transcripts from completed, captioned classes from the same 3Play-hosted web page. Visible in both student and coordinator views. Select View Transcripts.

 

NOTE (OPTIONAL): Your coordinator or your team with access to the 3Play Media Platform may also access and manage transcripts directly within the 3Play Platform to upgrade to > 99% accuracy, download different transcript and caption formats directly, translate to over 50 different languages and more.

Step 3 - Optional: Modify or Cancel Caption Orders in the AIM Platform

Inevitably, scheduled caption orders will change based on pre or early-semester course add/drops, or individual class instance cancellations. In either of these cases, once courses have been scheduled in the 3Play Platform and assigned to captioners, canceling the captions for a course, or an individual class within a course is straightforward in the AIM platform. 

You can cancel captions for the entire course by selecting Cancel from the Assignments tab for the course within AIM. 

NOTE: 3Play requires 24-hour notice on Live Professional Captioning cancellation to avoid any charges for reserved captioner time.

 

To cancel captions for individual classes within the course, or to modify the details of a course (for example, to update the meeting information):

Navigate to the Assignments tab of the relevant course, and select Modify

 

From this page, you can:

  • Cancel individual classes: Select the individual classes on the right side of the page for which you'd like to cancel captions.
  • Edit the course information: You can also edit the meeting information, support contact information, or additional information associated with the course. Editing information on this page will update the information for all remaining classes within the course.
