File Size and Duration Limits

This article contains information regarding both File Size and Duration Limits for the Transcription & Captioning service as well as well for Audio Description.

File Size

No matter the upload method, 1GB per file is the recommended file size however it is preferable to compress a file to less than 250MB if possible. Ideally the file size is small but the resolution clear enough for viewing as our transcript editors use this for reference.  Audio should be compressed as little as possible to retain quality. If it is too compressed, an audio difficulty surcharge may be applied.

If a file size exceeds the 1gb limit, the file processing may fail and ultimately be rejected.

Factors That May Impact the Delivery Times

Duration Violations

We cannot guarantee completing a file by the delivery time when the file exceeds the duration limit for the requested service level, however, 3Play Media will still do our best to try to complete the file by the requested time. See below for the cumulative duration limits for files for a specific turnaround service levels and for individual file duration limits.

In the unfortunate case that we miss a deadline for a file that was not considered a duration violation, you will only be charged for the service level achieved. Files that are beyond our individual file limits or daily cumulative limits will not be discounted if we fail to meet to requested SLA. 

Vertical Caption Placement (VCP)

Please note that having vertical caption placement (especially manual vertical caption placement) applied to an order can sometimes delay the completion of a request. This is more likely to occur when the file is a duration violation and is going to go through the VCP process.  Faster turnaround levels like 2-hour and same day services are even more likely to be impacted by caption placement however this may also be experienced for other service levels.

Duration Limits

Note that if these limits listed below are exceeded, 3Play Media will still aim to complete requests on time however we cannot guarantee the turnaround. If you know you are going to have uploads that exceed the recommendations below, please contact your account manager.

Transcription & Captioning Turnaround Services' Duration Limits

Standard 4 business day turnaround

- The cumulative duration of all files submitted for the Standard 4 business day turnaround service level cannot exceed 40 hours in a single day for a 3Play Media project.

If more than 40 hours is uploaded in a day, one business day will be added to the deadline for every 40 hours. For example, if 133 hours is uploaded in a single day for standard, 40 hours will be due in 4 business days, 40 hours will be due in 5 business days, 40 hours will be due in 6 business days, and the remaining 13 hours will be due in 7 business days from time of upload.

- An individual file cannot exceed 4 hours.*

*Please contact your account manager if you intend to upload a file equal to or greater than 4 hours.

Expedited 2 business day turnaround

- The cumulative duration of all files submitted for the Expedited 2 business day turnaround service level cannot exceed 40 hours in a single day for one 3Play Media project.
- An individual file cannot exceed 2 hours.

Rush 1 business day turnaround

- The cumulative duration of all files submitted for the Rush 1 business day turnaround service level cannot exceed 20 hours in a single day for one 3Play Media project.
- An individual file cannot exceed 2 hours.

Same Day 8 hour turnaround

- The cumulative duration of all files submitted for the Same Day 8 hour turnaround service level cannot exceed 10 hours in a single day for one 3Play Media project.
- An individual file cannot exceed 20 minutes.

Two Hour turnaround

- The cumulative duration of all files submitted for the Two Hour turnaround service level cannot exceed 4 hours in a single day for one 3Play Media project.
- An individual file cannot exceed 10 minutes.

Extended 10-day turnaround

- The cumulative duration of all files submitted for the Extended 10-business day turnaround service level cannot exceed 50 hours in a single day for a 3Play Media project. 

If more than 50 hours is uploaded in a day, a business day will be added to the deadline for every 50 hours. For example, if 133 hours is uploaded in a single day for extended, 50 hours will be due in 10 business days, the following 50 hours of content will be due in 11 business days, and the remaining 33 hours will be due in 12 business days from time of upload.

- Individual files should not exceed 6 hours.

ASR and Alignment Duration Limits

- The cumulative duration of all files submitted for ASR or Alignment is 40 hours per day.

- Individual files for ASR and Alignment cannot exceed 10 hours.

Audio Description (AD) Turnaround Services' Duration Limits

Note that the days listed for the turnaround times below for Audio Description are in addition to the time it takes transcribe/caption the video file. For example, if a video is uploaded for the standard transcription/captioning service and the standard audio description turnaround, it would take 4 business days for the transcription request to complete and then an additional 5 business days for the AD to complete.

Standard Audio Description Turnaround

- The cumulative duration of all files submitted for Audio Description's Standard 5 business day turnaround service level cannot exceed 4 hours in a single day for one 3Play Media project.
- An individual file cannot exceed 2 hours.

Expedited Audio Description Turnaround

- The cumulative duration of all files submitted for Audio Description's Expedited 2 business day turnaround service level cannot exceed 2 hours in a single day for one 3Play Media project.
- An individual file cannot exceed 30 minutes.

Rush Audio Description Turnaround

- The cumulative duration of all files submitted for Audio Description's Rush 1 business day turnaround service level cannot exceed 30 minutes in a single day for one 3Play Media project.
- An individual file cannot exceed 5 minutes.
