Blackboard Collaborate: Add Captions to Recordings

The method below requires the ‘Recording Converter’ feature, which is only available with Blackboard Collaborate version 11 or higher. For additional details, see Blackboard’s documentation on converting recordings.


Step 1- Log into your Blackboard Collaborate SAS

Log into your Blackboard Collaborate Session Administration System (SAS).


Step 2- Go to My Recordings

Open the My Recordings page from the top of the SAS interface.

Step 3- Initiate Conversion to MP4

Click on the Convert button under the ‘Video (MP4)’ column.
For audio-only recordings, select the Audio (MP3) option.

The MP4 conversion process normally takes more than double the duration of the original recording.
You will receive an email notification when the conversion is complete.

NOTE: The converted MP4 file will include audio, whiteboard, slides, and application sharing content.
It will not include chat, polling, emoticon feedback, web tour, video and multimedia content.
In order to view all of the content you will need the native Blackboard Collaborate recording (VCR file).

The following steps explain how to obtain the URL link to the Blackboard Collaborate MP4 file so that it can be submitted for captioning. In some cases it may be necessary to download the MP4 file to your computer prior to captioning. This is explained in the last section.


Step 4- Click on Utilities

Click on Utilities at the top of the page.


Step 5- Accept Meeting Session

Under Session Management, click on Meetings. On the left side, click on Meeting Session and then click Accept.


Step 6- Select Session and Room

Click on the box to the left of the session to be converted.
Next click the Rooms button at the top and select the room that was recorded. (Click the box in the left column.)

Step 7- Click Recording Button

Click the Recording button in the toolbar.


Step 8- Click Playback

Click the Playback button in the toolbar.




Step 9- Copy the link to the Video (MP4) Format

Right-click Video (MP4) Format, and select Copy Link Location.
Keep this link stored in your clipboard as it will be used to submit your recording for captioning.

Step 10- Log into your 3Play Media account

Step 11- Upload the link to your recording

From the Upload Media menu, select From Links.

Step 1- Multiple links can be uploaded here, click Add when finished.

Step 2- When finished, click Upload.

Step 12- Navigate to My Files

After receiving a notification that your captions are ready, log back into your 3Play account and click on the My Files tab located at the top of the page.

Step 13- Filter by Captions Encodings 

Navigate to the Filters section on the left-hand side of the page and select Caption Encodings under Services to filter by all files with Caption Encodings.

Click on the file you want to download the Caption Encodings for.

Step 14- Download 

Click on the Caption Encoding name to download under the Caption Encodings section.

After clicking, the video with encoded captions will immediately begin downloading to your computer.
