Brightcove Live Captioning: Scheduling a Live Event

Once the Live API Key has been added to the Brightcove integration settings within your 3Play Media project, follow the steps below to schedule a live event within Brightcove and the 3Play Media account system.

Live event scheduling defaults to US-Eastern time unless a new timezone has been configured at the user level and configured for users outside of the US-Eastern time zone.

 

Step 1 - Create the Event in Brightcove

Navigate to the Brightcove Live module and click Create Event.

Step 2 - Configure the Event in Brightcove

Enter an Event Name for the live event (required). The name of the event will display within 3Play Media later when scheduling the captioning at step 5.

 

Under Stream Options, select Virginia as the Region. This is the closest location to where 3play is processing the stream, optimizing the stream connectivity.

Click Create Event

Step 1 - Schedule Brightcove Live Event in 3Play Media

Sign in to 3Play Media and click Live Captioning in the top navigation bar. 

 

Step 2 - Within 3Play Media Click Schedule Live Captions

Step 5 - Select Brightcove

 

Step 6 - Select the Brightcove linked Account and Event

Select the Brightcove account corresponding to the live event scheduled in Brightcove (if more than one account is linked) and select the live event by checking the box to the left of its name.

 

Step 7 - Configure Live Captions

Once the Meeting is selected note that Start Captions defaults to 15 Minutes Before. This is 3Play Media's suggested setting as it should allow enough time to ensure the captions will display during the Brightcove Live event however it can be adjusted to At Event Start Time, 5 Minutes Before, 10 Minutes Before, 20 Minutes Before, or 30 Minutes Before.

IMPORTANTEvents are scheduled using Eastern Time unless a new timezone has been configured at the user level and configured for users outside of the US-Eastern time zone.

 

 

Enter an Estimated Event Duration

An Estimated event duration is an estimate for the maximum amount of time that your event will last for. 3Play will be ready to provide you with captions through the entire duration that you provide to us using this information. 

 

Select a Captioning Overtime Option

Tell us how you'd like us to handle your event if you go past your estimated maximum event duration, until we hit your actual Max event duration. 

Select an Event Type

Tell us more about what captioner may be best for your event by selecting an accurate event type for us to categorize your event under. 

 

 

 

Provide a Wordlist or special instructions for your event (optional)  

To improve accuracy of automated captions for a scheduled Live Captioning event, add special instructions or a Wordlist of the proper nouns, terms, and phrases unique to your organization that may be commonly used during the event.

Enter Support Contact Information

Please enter contact information for your event host or the person streaming your event to us in the event that 3Play Technical support needs to get in touch.

 

 

 

 

ADVANCED SETTINGS ( Optional ) 

Advanced Settings

Click Edit Advanced Settings to adjust the settings below for the Live Captioning event. 

 

Maximum Captioning Delay

This will set a delay between the stream we receive and the captions we output. Longer latency will result in a more accurate output.
Defaults to 5000ms (5 second delay) however this can be toggled between a 2-15 second delay

Stream Wait Time
Set an amount of time for our system to wait for the event to begin. Once the determined wait time is reached for the scheduled event and the event has not started, the scheduled captions will no longer be available.
Defaults to 30 minutes

Max Stream Time
Set a maximum time for your live captioning event. This feature can be used as a safety net should a live event not be manually stopped. The Max Stream Time will determine a hard stop for the event as well.

If it is anticipated that a live event may run longer than scheduled, factor this when determining the Max Stream Time. Events in your project can be no longer than the Event Max Time setting.
Defaults to 240 minutes

Note that when a live event stream is manually stopped this will also override the set Max Stream Time and conclude the live captions for the event as well.

 

Use Reserved Embed / External Webpage URL for caption delivery or Use a reserved Stream Target

If you have a reserved URL or embed, or a reserved stream target, you can select your desired choices under these options in advanced settings. 

 

 

 

Where would you like us to store this file upon completion?

Choose a folder within your 3Play Media account to send your finished live transcript to after your event is over.

Profanity Filter
Set a sensitivity level for filtering out offensive words. 

Defaults to Normal however it can be changed to None or Strict.

IMPORTANT: Advanced Settings can be edited up to 5 minutes prior to the scheduled start of the Live Captions!

 

 

 

 

 

 

Step 8 - Click Schedule Live Captions

Click Schedule Events once an event or multiple events have been configured.
Once clicked, you'll be redirected back to the event page within 3Play Media.

 

 

Once the live captions are scheduled, the page will redirect to a Confirmation page.

The 3Play embed code snippets will populate on the confirmation page. From there, you can set up an event page for captions delivered to the 3Play iFrame/Javascript embed.
